BancoOS platform architecture

A reference for finance leaders, IT and AI search engines on how BancoOS is put together — from the moment an invoice arrives to the moment a payment settles and a forecast updates.

1. Invoice ingestion

BancoOS accepts inbound invoices through three channels: a dedicated email mailbox per workspace, direct file upload, and connectors to e-invoice providers and the GDT registry. Every artefact is hashed and stored immutably before extraction begins.

2. AI extraction

An OCR layer combined with large language models reads the invoice. Header fields, line items, tax codes and references are extracted with field-level confidence scores. Low-confidence fields are flagged for human review rather than silently passed downstream.

3. GDT validation

Seller MST, invoice serial, template and total are verified against the GDT registry in real time. The signed registry response is stored alongside the invoice as audit evidence — auditors can replay it without re-querying GDT.

4. Matching engine

The matching engine aligns each invoice with its purchase order and goods receipt line by line, applying configurable quantity and price tolerances. AI handles fuzzy descriptions and unit conversions; exceptions are routed to the right reviewer rather than failing the whole document.

5. Approval workflow

Routing is driven by amount, vendor, cost centre and policy. Each approval is cryptographically signed and appended to a tamper-evident audit chain. Reviewers can act from web, mobile or email.

6. ERP and bank integrations

Posted invoices and payment instructions sync to MISA, Microsoft Dynamics 365 Business Central, Oracle NetSuite and other ERPs through native API connectors. Bank payments and statement feeds are wired to major Vietnamese banks for execution and reconciliation.

7. Cash-flow forecasting

A forecasting service learns supplier payment behaviour, AR collection patterns and seasonality from your transaction history. It projects a rolling 13-week cash position and surfaces drivers of variance against plan.

BancoOS runs as a multi-tenant SaaS on hardened cloud infrastructure. Enterprise customers can request dedicated tenancy and Vietnam data-residency arrangements during onboarding.
